Deep Dive into Individual Form Type Submissions #

When you need to examine individual submissions in detail, FORMEPIC’s response viewing features provide complete visibility into every piece of data collected. Access each respondent’s information, review field-level responses, analyze partial vs. complete submissions, and understand submission metadata—all within an intuitive interface designed for efficient data analysis.

Review every answer, track submission timestamps, monitor completion rates, and identify patterns in your response data. Whether you’re qualifying leads, grading quizzes, analyzing survey results, or reviewing poll answers, the detailed response view gives you the insights you need to make informed decisions.

Accessing Individual Form Type Responses #

Navigation to Response View #

  1. From the Responses Dashboard, locate the form you want to review
  2. Click the View button (eye icon) next to the form name
  3. The detailed response page will open, showing all submissions for that form

Alternative Access:

  • Navigate from the Created tab by clicking a form and selecting the Responses option
  • Use direct URL navigation if you have the form ID

Understanding the Response Page Layout #

Header Section:

  • Back Button: Return to the Responses Dashboard
  • Form Title: Displays the form name you’re currently viewing
  • Create New Button: Launch form creation workflow
  • My Account Menu: Access settings and documentation

Control Panel:

  • Date Range Selector: Filter responses by submission date
  • Filter Toggle: Enable advanced filtering options
  • Column Visibility: Customize which columns appear in the table
  • Bulk Actions: Select and act on multiple responses simultaneously

Response Table:
Displays all submissions with customizable columns showing submission details, field responses, and metadata.

Response Data Structure #

Core Response Fields #

Submission Identification:

  • Response ID: Unique 8-character identifier for each submission (derived from full UUID)
  • State: Badge indicating “Full” (complete) or “Partial” (incomplete) submission
  • Submitted At: Date and time of form submission

Respondent Information:

  • Name: Respondent’s name (if collected via form fields)
  • Email: Respondent’s email address (if collected via form fields)
  • Contact Details: Any additional contact information fields

Field-Level Responses #

The response table includes a column for each form field:

  • Field Name: Column headers match your form field labels
  • Response Value: The data entered by the respondent for each field
  • Empty Fields: Display as blank cells for partial submissions

Supported Field Types:
All field types are displayed with appropriate formatting:

  • Text Input: Plain text responses
  • Text Area: Multi-line text responses
  • Email: Email addresses
  • Phone: Phone numbers
  • Number: Numeric values
  • Date: Formatted date values
  • Time: Formatted time values
  • URL: Website addresses
  • Dropdown/Select: Selected option text
  • Radio Buttons: Chosen option
  • Checkboxes: Selected options (comma-separated if multiple)
  • File Upload: File names or links
  • Signature: Signature image references
  • Rating: Star or numeric ratings
  • Timer: Duration values in specified format (seconds, minutes, hours)
  • Calculation: Computed values based on field formulas
  • Payment: Payment amount and status
  • Coupon: Coupon codes entered

Partial vs. Full Submissions #

Full Submissions:

  • All required fields completed
  • Submission button clicked
  • Payment completed (for forms with payment fields)
  • Displays with green “Full” badge

Partial Submissions:

  • Some fields left empty
  • Form started but not completed
  • Payment initiated but not successful (for payment forms)
  • Displays with amber “Partial” badge

Understanding submission states helps you:

  • Identify drop-off points in your forms
  • Follow up with incomplete submissions
  • Calculate accurate completion rates
  • Prioritize fully qualified responses

Submission Metadata #

Automatic Metadata Collection #

Timestamp Information:

  • Submitted At: Precise date and time when the form was submitted
  • Format: Displayed in readable format (e.g., “24/01/2025 14:30:45”)
  • Timezone: Uses server timezone for consistency

Payment Information (for forms with payment fields):

  • Payment Status: Current payment state (Succeeded, Pending, Failed)
  • Payment Platform: Provider used (Stripe, PayPal)
  • Payment Amount: Transaction amount with decimal precision
  • Payment Currency: Three-letter currency code (USD, EUR, GBP, etc.)
  • Payment Method: Type of payment method used (card, paypal, etc.)
  • Transaction ID: Provider’s payment identifier for reference

Quiz-Specific Metadata (for quiz forms):

  • Grade Released: Indicator showing if quiz results have been shared with respondent
  • Grade Released At: Timestamp when grades were released
  • Score Information: Available when grade is released

Response Actions Available #

From the detailed response view, you can:

  • View Individual Response: Click on a row to open the side panel with full details
  • Edit Response: Modify submitted data (when edit button is available)
  • Delete Response: Remove individual submissions
  • Export Response: Download selected responses to CSV
  • Select Multiple: Use checkboxes to perform bulk actions

Viewing Individual Response Details #

Opening the Response Panel #

  1. Click on any row in the response table
  2. A side panel slides in from the right
  3. View complete response details in an organized format

Response Panel Layout #

Header:

  • Response Title: “Response Details”
  • Close Button: Exit the panel

Details Section:
Displays submission information in a clean, vertical layout:

  • Field Label: Each form field name in bold
  • Field Value: Respondent’s answer below the label
  • Empty Fields: Shown as “(not answered)” or similar indicator
  • Formatted Data: Values formatted according to field type

Action Buttons:

  • Edit: Modify response data (opens edit mode)
  • Delete: Remove this specific response
  • Close: Return to table view

Edit Mode #

Activating Edit Mode:

  1. Open a response in the side panel
  2. Click the Edit button (pencil icon)
  3. Field values become editable

Editing Responses:

  • Field values appear in input fields matching their original type
  • Modify any field as needed
  • Changes are saved per field

Saving Changes:

  • Click Save to commit all modifications
  • Confirmation toast appears upon successful save
  • Panel remains open to view updated data

Canceling Edits:

  • Click Cancel to discard changes
  • Original values are restored
  • No changes are saved to the database

Requirements #

To view and analyze form responses:

  • Active FORMEPIC account with login access
  • At least one form with submitted responses
  • Appropriate permissions to view response data
  • Internet connection to load response data

Tips and Tricks #

Efficient Response Analysis:

  1. Use Column Visibility: Hide irrelevant columns to focus on key data fields
  2. Sort Strategically: Click column headers to sort by submission time, email, or ID
  3. Filter by Date: Focus on specific time periods to analyze campaign performance
  4. Check Partial Submissions: Review incomplete responses to identify form usability issues
  5. Monitor Payment Status: For payment forms, quickly verify transaction completion
  6. Export Before Analysis: Download responses to CSV for advanced analysis in spreadsheet applications

Response Review Best Practices:

  • Review the most recent submissions first (default sort order)
  • Check partial submissions to understand where users abandon forms
  • Use the edit feature to correct obvious data entry errors or typos
  • Note response patterns in certain fields to improve future form design
  • For quizzes, check grade release status before communicating with respondents

Data Management:

  • Regularly export response data for backup purposes
  • Delete test submissions to maintain clean data sets
  • Use bulk selection for efficient data management
  • Keep track of payment statuses for forms collecting payments

Important Notes #

  • Real-Time Data: Response data reflects the current state when the page loads. Refresh to see new submissions
  • Edit Permissions: Editing responses should be done carefully as it modifies original submission data
  • Payment Data: Payment information is read-only and cannot be edited; only payment status from provider is shown
  • Deleted Responses: Deleting a response is permanent and cannot be undone
  • Grade Release: For quiz forms, releasing grades will trigger email notifications to respondents (if email settings are configured)
  • Partial Submission Tracking: Partial submissions indicate form abandonment and may help identify problematic fields
  • Field Display Order: Columns in the table appear in the same order as fields in your form
  • Timer Fields: Timer values display in the format configured in the form builder (seconds, minutes, or hours)
  • File Upload Fields: Shows file names; actual file access depends on storage configuration

Common Issues & Troubleshooting #

Problem: “No responses showing for a form”

  • Solution: Verify the form has received submissions. Check if date range filter is too restrictive. Ensure the form is published and accessible to respondents.

Problem: “Partial submission doesn’t show all fields”

  • Solution: Partial submissions only include fields that were filled before the user abandoned the form. This is expected behavior—not all fields will have values.

Problem: “Can’t edit a response”

  • Solution: Ensure you’ve clicked the Edit button in the response detail panel. Some fields may have restrictions. Try refreshing the page and opening the response again.

Problem: “Payment information not displaying”

  • Solution: Payment data only appears for forms with payment fields configured. Verify that the payment field exists in your form and that transactions have been completed.

Problem: “Response ID doesn’t match full UUID”

  • Solution: The displayed ID is a shortened 8-character version for readability. The full UUID is used internally and can be accessed via export or database.

Problem: “Columns are too crowded”

  • Solution: Use the Column Visibility button (Columns icon) to hide fields you don’t need to see. This customizes the table to show only relevant data.

Problem: “Can’t find a specific response”

  • Solution: Enable filters and use the search or email filter options. Sort by submitted date or respondent email to locate specific submissions more easily.

Problem: “Grade release option not showing for quiz”

  • Solution: Grade release features require email settings to be configured for the form. Set up email notifications in the form settings, then return to release grades.
